Provide full-spectrum secretarial and administrative functions - planning, coordinating, and managing an active calendar of appointments; composing and preparing correspondence and internal documents, coordinate and arrange meetings.
As directed by the CEO, independently draft and if required, respond/handle all in-coming and out-going e-mails and correspondence on his behalf.
Structuring presentations and written communication.
Organizing and attending meetings and ensuring they are well-prepared for the meetings.
Taking dictation and minutes and writing them up subsequently
Acting as the point of contact between the executives and internal or external colleagues
Assisting in keeping track of project deadlines and managing a variety of special projects, some of which may have organizational impact. (must have basic knowledge of facility management)
Making travel arrangements and detailed travel itineraries
Preparation of presentations (PowerPoint), proposals and client deliverables, i.e. taking instructions from other individuals or service departments as necessary, to ensure that project timelines and deliverables are met as outlined.
Maintaining the current filing and database system, and looking for ways to improve current systems
All other EA/Admin duties and responsibilities as expected
Requirements
Bachelor’s Degree in Administration or similar discipline
Proven experience of 3 years as an executive assistant.
Exceptional written and verbal communication skills.
Proficiency in Microsoft Office Suite and other relevant tools/software
