Job Summary



  • We are looking for a motivated and experienced Procurement Specialist to join our team! As a Procurement Specialist, you will be responsible for assisting with the procurement and logistics processes, including contract management, contract negotiation, preparation of purchase orders, and travel and logistics management.

  • Review and prepare routine documentation and correspondence related to assigned procurement actions, including, but not limited to identification of potential suppliers and service providers (conduct market surveys), preparation of invitations to bid, bid summaries, purchase orders and/or contract, simple contractual amendments, renewals; obtain clarifications when necessary.

  • Follow-up on purchase orders and contracts. Monitor vendor progress on purchase orders and contracts in process; verify quality of service provided and receipt of order confirmation, shipment and receipt of goods and services, receipt of performance bonds or other necessary documentation; ensure adherence to contract terms.

  • Communicate to the Project Team in relation to the assigned procurement actions, assist with the correct preparation and submission of new procurement requests.

  • Review invoices of incoming goods, transportation services and custom’s clearance fees for accuracy; bring to the supervisor’s attention any discrepancies which may arise, prior to processing the payment, translation of the offers/invoices.

  • Arrange the delivery of goods to their final destinations.

  • Report on the status of procurement actions. Make recommendations on the procurement processes and system for the purpose of enhancement; implement approved changes to procurement processes as requested.

  • Manage all travel and logistics requests end-to-end in a timely manner and in line with the Travel Policy and donor requirements.

  • Support with budgeting for travel, programmatic activities, and other direct costs for grant purposes.

  • Ensure payments (including disbursements to employees) are processed in a timely manner to avoid work disruption and vendor/service provider dissatisfaction.

  • Undertake other reasonable duties related to the job purpose as required.


Qualifications, Knowledge And Experience



  • University Degree in Business Administration, International Relations, Economics, Procurement and other Social Sciences.

  • 6 years’ experience in procurement support work.

  • Good working knowledge of procurement practices, principles and strategies.

  • Excellent communication, interpersonal and negotiation skills.

  • Strong analytical thinking and problem-solving skills.
