Job Description



  • The position of Executive Assistant requires involvement with high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgement.


Main Responsibilities



  • Prepare correspondence, reports, and materials for publication and presentations.

  • Take meeting minutes, write reports, bookkeeping and perform general clerical duties to include but not limited to: photocopying, mailing and filing.

  • Receive and distribute mail and correspondence.

  • Organise and maintain diary and make appointments.

  • Answer telephone and handle calls in appropriate manner.

  • Meet and greet clients and visitors.

  • Setup and coordinate meetings and conferences.

  • Create, transcribe and distribute meeting agenda and minutes.

  • Setup accommodation and entertainment arrangements for company visitors / CEOs office.

  • Travel with the CEO as need arises

  • Maintain adequate filing system.

  • Other duties as assigned.


Requirements



  • Candidates should possess an HND, B.A, or B.Sc Degree with at least least 3 years experience.

  • Knowledge of Microsoft Office, Excel and Power Point presentations and telephone protocol.

  • Excellent verbal and written communication skills.

  • Attention to detail, excellent organisational skills

  • discretion with confidential information.

  • Analytical and problem solving skills.

  • Stress and time management skills.

  • Honest, trustworthy,respectful &lexible

  • Possess cultural awareness and sensitivity

  • Demonstrate sound work ethics.
