Calendar and Schedule Management:



  • Manage the executive's calendar, scheduling appointments, meetings, and travel arrangements.

  • Prioritize tasks and requests according to the executive's schedule and priorities.

  • Communicate schedule changes and updates to relevant parties.


Communication and Correspondence:



  • Screen and filter phone calls and emails, directing only the most important ones to the executive.

  • Draft and respond to emails and correspondence on behalf of the executive.

  • Manage and take detailed notes during meetings and calls.


Travel and Logistics:



  • Research and book travel arrangements, including flights, hotels, and ground transportation.

  • Prepare itineraries and travel documents.

  • Arrange meetings and logistics at travel destinations.


Project Management and Research:



  • Manage and support the executive's projects, including research, data gathering, and report preparation.

  • Coordinate with other departments and external stakeholders.

  • Prepare presentations and materials for meetings and conferences.


Administrative Support:



  • Handle expense reports and other financial tasks.

  • File and manage documents electronically and physically.

  • Perform miscellaneous tasks as needed, often at the executive's discretion.


Additional Responsibilities:



  • Maintaining confidentiality and exercising discretion with sensitive information.

  • Anticipating the executive's needs and proactively resolving potential issues.

  • Staying up-to-date on the executive's industry and relevant news.

  • Cultivating strong relationships with internal and external stakeholders.
