Job duties/responsibilities/accountabilities



  • Completes a broad variety of administrative tasks for Chairman including: managing an extremely active and dynamic calendar of appointments: completing expenses report: composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas: and compiling documents for travel-related meetings.

  • Plans, coordinates and ensure the Chairman schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the Chairman’s’ time and office

  • Communicates directly , and on behalf of the Chairman with Board of Directors, Managing Director, team members and others on matters related to the Chairman’s initiatives

  • Researches, prioritizes and follows up on incoming issues and concerns addressed to the Chairman including those of sensitive or confidential nature. Determines appropriate course of action, referral or response

  • Provides a bridge for smooth communication between the Chairman’s office and internal departments: demonstrating leadership to maintain credibility, trust and support with senior management, and other staff member.

  • Work closely and effectively with the Chairman to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, having a sense for the issues taking place in the environment and keeping the Chairman apprised.

  • Provide leadership to build relationship crucial to the success of the organization, and manages a variety of special projects for the Chairman some of which have organizational impacts

  • Successfully complete critical aspects of deliverables with a hands-on approach, including personal correspondence and other tasks that facilitate the Chairman’s ability to effectively lead/contribute to the company

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressure

  • Assists in scheduling the Chairman’s meetings, off-sites and all company meetings

  • Safeguard the company’s intellectual property, information and assets


Other duties to be assigned



  • Act/Speak in a friendly and professional manner/tone.

  • Receive packages/mails and delivered to Admin department for circulation.

  • Control traffic in the reception area by ensuring guests are attended to promptly.

  • Ensure the reception area and guest restroom(s) are clean with the right ambience

  • Ensure the reception area has a filled water dispenser at all times.
