JOB SUMMARY
The Front Desk Executive (FDE) role is responsible for managing front office reception and administrative duties which include answering telephones, receiving visitors, providing customer assistance, data processing, and record-keeping.
MAJOR RESPONSIBILITIES
CUSTOMER SERVICE
- Provide exceptional customer service to guests; receive the public and answer questions, in person and by telephone; respond to inquiries from employees, clients and others and refer, when necessary, to the appropriate person, official or department in line with corporate policies and procedures.
ADMINISTRATIVE DUTIES
- Manage Corporate Office front desk operations; complete, develop and maintain forms in accordance with company procedures; prepare outgoing mail; sort and distribute incoming mails within the office, and coordinate the flow of information both internally and externally.
FIRST POINT OF CONTACT
Acts as first point of contact for external visitors wishing to contact the company to ensure that only those having genuine and acceptable reasons may do so.
PROBLEM-SOLVING AND DECISION MAKING
- Handle complaints and resolve grievances and conflicts with customers. Supervise other clerical staff, including trainings and orientation.
- Exercise initiative to identify and deal with problems and issues that arise to ensure smooth running of the front office.
SECRETARIAL AND CLERICAL DUTIES
- Answer central telephone system and direct calls accordingly.
- Organize and maintain paper and electronic files and keep records of collections and disbursements.
- Other duties that may be assigned from time to time.
