SUMMARY


The Executive Assistant plays a critical role in supporting the Partners by managing administrative tasks, facilitating communication, and ensuring operational efficiency. The primary goal is to enhance the effectiveness of the Partners by handling various responsibilities, allowing them to focus on strategic and high-priority matters.


KEY RESPONSIBILITIES



  • Accurately organize and maintain both paper and electronic files, including official documents, publications, and manuals.

  • Own and manage administrative tasks for the Partners to ensure a smooth workflow.

  • Handle Partners' monthly phone bills and retire expenses to the financial control unit.

  • Draft, edit, and format documents, reports, and presentations for the Partners.

  • Assess the priority of incoming and outgoing material, ensuring the Partners receive accurate and relevant information promptly.

  • Update and manage appointments, calendars, agendas, and meetings for the Partners.

  • Coordinate logistical aspects of meetings and events, ensuring seamless execution.

  • Arrange and manage local and international travel itineraries, visas, agendas, and logistics for the Partners.

  • Represent the Partners by welcoming visitors, organizing dinners, board meetings, and corporate functions.

  • Receive and coordinate responses to inquiries from clients and colleagues directed to the Partners.

  • Assist with private and personal errands and logistics planning.

  • Coordinate with the private staff of the Partners to facilitate effective delivery of set deliverables.

  • Provide general administrative support to Partners unit members.

  • Manage international procurement of seasonal corporate branding materials for the firm.

  • Manage Partners' projects and conduct necessary research.


REQUIREMENTS



  • BSC/HND First degree in any discipline.

  • Minimum of 4 years in a similar role in a corporate institution or a fast-paced service organization.

  • Ticketing and hotel reservations experience.

  • General clerical work expertise, including filing and record keeping.

  • Excellent communication skills.

  • Proficiency in secretariat apps, MS Office, social media, and other technological tools.

  • Outstanding organizational skills, including calendar management and process/system documentation.

  • Strong problem analysis and solving skills.

  • Excellent project management skills.

  • Business communication skills.

  • Knowledge of office equipment.
