Summary
- We are looking to hire a Commercial Officer with a proven track record in tender, and contract management.
Roles and Responsibilities
- Receipt of leads, ITTs, PQQ, and TQs from portals, emails, document-sharing platforms
- Logging all leads ITTS, PQQ, TQs, etc. to ensure action is taken and correct distribution
- Scheduling and co-coordinating tender review meetings, taking minutes, action items assignment, and tracking
- Organize bid team reviews and Senior management reviews
- Coordination and completion of PQQs including all supporting evidence
- Carry out the production of final bid documents and arrange to supply the bid documents to the customer within defined tender deadlines
- Ensure bid and proposal WORD documentation is formatted, collated, and presented in a professional manner
- Ensure that respective agendas, attendance lists, and action-trackers are up to date
- Maintain the status of generic proposals to ensure they are reviewed, revised, and re-approved as necessary
- Enter data into the secured document storage repository
- Liaise with the organization’s document controller to ensure safe keeping of classified documents, adhering to required procedures and regulations
- Provide reports through the bid process, providing weekly status and exception reports as required
- Collation of tender submissions and client feedback
- Provide reports and analysis on tender success and failure rates
- Maintain hard and soft copies of tender documents, complete tenders document registers, and liaise with the customer project team to ensure correct and timely receipt of required information
- Undertake other administrative tasks as required
- Prior experience with NCDMB requirements
- Management of tender and sales mailboxes
Qualification and Experience
- Interested candidates should possess a B.Eng / B.Sc Degree
- Previous technical administration experience within the oil and gas sector
- Minimum of 4 years of experience in Tender and Contract Management
- Previous exposure to PQQs/ITTs and TQs
- Ability to work under tight deadlines
- Previous experience in providing administrative support, ideally in sales and marketing or commercial environment
- Knowledge of contract law or a law degree would be advantageous
- Computer literate and proficient in the use of MS software particularly word, excel, outlook, power point and Visio
- Excellent telephone and communication skills
- Adaptable and flexible
