Job Summary


We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our Senior Management team. The ideal candidate will be a reliable and resourceful professional capable of managing multiple tasks and priorities in a fast-paced environment.  As the Administrative Assistant for Senior Management, you will play a crucial role in ensuring the smooth and efficient operation of our executive office.


Main Responsibilities



  • Will act as an assistant to the assigned executives and attend to their work-related needs to ensure smooth operations.

  • Coordinate and manage the complex schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.

  • Serve as the primary point of contact for internal and external communications directed to senior management, screening calls, managing emails, and drafting correspondence as needed.

  • Organize and coordinate meetings, conferences, and events for senior management, including preparing agendas, coordinating logistics, and arranging catering.

  • Maintain and organize electronic and hard copy files, records, and documents and always ensure confidentiality and accuracy.

  • Arrange travel itineraries and accommodations for senior executives, including flights, hotels, ground transportation, and visas when necessary.

  • Process expense reports and reconcile credit card statements for senior management, ensuring compliance with company policies and procedures.

  • Assist with various projects and initiatives as assigned by senior management, providing administrative support and coordination as needed.

  • Collaborate with other administrative staff and departments to support cross-functional initiatives and ensure seamless communication and coordination.


Qualifications & Skills:



  • Bachelor’s degree in Business Administration or related field.

  • Proficiency in project management tools and software.

  • Minimum two (2) years’ experience as an administrative or executive assistant to senior management.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Critical thinking and analysis.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Strong communication and interpersonal skills, with a professional and courteous demeanor.

  • Discretion and confidentiality when handling sensitive information and correspondence.

  • Ability to work independently with minimal supervision and as part of a team.

  • Flexibility and adaptability to changing priorities and demands.
