Job Description



Main Job Purpose



  • Assist with the acquisition and purchase of goods and services for the company both locally and from overseas at the right price, right quality and right time.


Key Accountabilities



  • Receiving approved requisitions from Stores for action

  • Receives and reviews material requisitions Stores for action

  • Investigate sources of suppliers.

  • Invites quotations and bids, compares and analyze quotations

  • Participate in market survey for local purchase items

  • Preparation of Purchase Requisition.

  • Participate in the award of purchase orders and acceptance thereof

  • Physically visit relevant markets for purchase

  • Follows up on purchase orders to ensure receipt of proper quality and quantity of specified dates.

  • Investigate complaints on orders.

  • Participate in negotiation process.

  • Approval of documents from purchasing department for final approval from the Plant Manager

  • Coordinate efficient Suppliers management for the company.

  • Assist with stock, inventory and reconciliation.

  • Follow up Suppliers payment with Finance department when due.

  • Ensure smooth flow of documents within the organization i.e. Stores, Finance, Admin and other departments.

  • Assist in the selection of appropriate suppliers and contractors, to promote good procurement practices with due regard to sustainability, ethical purchasing standards, and costing

  • Draft an appropriate service level agreement to properly evaluate the performance of suppliers, and report on this regularly.

  • Work with internal stakeholders / staff to determine procurement needs, quality, and delivery requirements.

  • Maintain contracts with vendors review inventory and update as required

  • Receive orders from various departments, Initiate and keep track of orders

  • Receive, inspect, distribute orders, and reconcile or resolve order discrepancies with supplies.

  • Responsible for order placement timing, supply / demand alignment, material replenishment, and supplier performance

  • Control and monitor expenses against approved budgets

  • Develop sourcing strategies and cost-saving budgeting and targeting

  • Maintain good relationships with suppliers / vendors and renegotiate prices regularly

  • Follow up with Admin to ensure prompt transportation of goods

  • Other purchasing functions assigned by the Management.


Professional Skills



  • B.Sc. / HND in a relevant discipline from an accredited University

  • Relevant Professional Certification


Experience Required :



  • Up to five (5) years experience, preferably in a pharmaceutical manufacturing environment

  • Appreciable knowledge of Industrial Machine Parts

  • Experience in procurement of Industrial Machine Parts

  • Good knowledge of relevant procurement practices

  • Good organizational skills and sense of urgency

  • Good attention to detail

  • Excellent stakeholder management skill
