Responsibilities



  • Manage the MD's calendar, including scheduling and coordinating meetings, appointments, conference calls, & travel arrangements.

  • Serve as the primary point of contact for the MD, screening and prioritizing incoming calls, emails, & correspondence.

  • Draft and prepare emails, letters, reports, and other documents on behalf of the MD with accuracy and professionalism.

  • Ensure timely responses to inquiries & requests, providing information or redirecting to appropriate channels as necessary.

  • Arrange domestic and international travel for the MD, including flights, accommodations, transportation, and itinerary planning.

  • Coordinate logistics for meetings, including room reservations, audio-visual equipment setup, and catering arrangements.

  • Prepare meeting agendas, presentations, and materials, ensuring timely distribution to participants.

  • Attend meetings as needed to provide administrative support, take notes, and follow up on action items.

  • Organize and maintain electronic and physical files, documents, and records related to the MD's activities and responsibilities.

  • Ensure confidentiality and security of sensitive information, exercising discretion and professionalism at all times.

  • Utilize technology tools and software applications to streamline administrative processes and enhance productivity.

  • Demonstrate proficiency in calendar management software (e.g Microsoft Outlook, Google Calendar) and other productivity tools (e.g Microsoft Office Suite, project management software).

  • Support the MD in various special projects, initiatives, and strategic initiatives as assigned, demonstrating initiative, creativity, and problem-solving skills.


Qualifications / Experiences



  • Bachelor's degree in Business Administration, Management, or related field preferred.

  • Proven experience (3-5 years) as an executive assistant or similar role

  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.

  • Strong communication skills, both written and verbal, with a high level of professionalism and discretion.

  • Proficiency in technology tools and software applications, including calendar management software, Microsoft Office Suite, and other productivity tools.

  • Strong attention to detail and accuracy, with a commitment to delivering high-quality work and meeting deadlines.
