Job Objectives



  • As we continue to expand our operations, we are seeking a diligent and customer-focused Front Desk Administrative Officer to join our team and play a key role in supporting our daily operations.

  • As the Front Desk Administrative Officer, you will serve as the face of our company, providing exceptional customer service and administrative support to clients, visitors, and employees.

  • You will be responsible for managing the front desk operations, handling inquiries, and performing a wide range of clerical tasks to ensure the smooth functioning of our office. The ideal candidate will be highly organized, detail-oriented, and adept at multitasking in a fast-paced environment.


Principal Duties / Responsibilities

Client and Visitor Relations:



  • Greet and welcome clients, visitors, and employees with warmth and professionalism.

  • Answer phone calls, emails, and in-person inquiries promptly and courteously.

  • Provide information about our security services, company policies, and procedures.

  • Direct clients and visitors to the appropriate person or department as needed.


Administrative Support:



  • Schedule appointments, meetings, and conference room reservations for staff members.

  • Maintain electronic and physical filing systems, ensuring accurate and organized records.

  • Assist with data entry, document preparation, photocopying, and scanning as required.

  • Manage incoming and outgoing mail, packages, and deliveries, including courier services.


Office Operations:



  • Ensure the reception area is clean, organized, and presentable at all times

  • Monitor and maintain office supplies inventory, ordering supplies as needed.

  • Coordinate maintenance and repairs for office equipment and facilities.

  • Support other departments with administrative tasks and special projects as assigned.


Security Protocol Adherence:



  • Adhere to security protocols and procedures to maintain a safe and secure environment.

  • Verify the identity of clients, visitors, and vendors as necessary.

  • Follow established procedures for access control, visitor registration, and badge issuance.


Job Requirements



  • Bachelor's degree, OND or HND in Business Administration, Office Management, or related field preferred.

  • Proven experience in a receptionist, front desk officer, or administrative support role, preferably in the security services industry.

  • Excellent verbal and written communication skills, with a professional and courteous demeanor.

  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with office equipment.

  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.

  • Customer-focused mindset with a commitment to delivering exceptional service to clients and visitors.

  • Flexibility to adapt to changing priorities and work occasional evenings or weekends as needed.

  • Knowledge of security protocols and procedures is advantageous but not required.
