Job Description
Position Summary:
- The Operations Assistant (Consultant) will assist the Operations team on its upcoming Close-out processes. He/ She will work under the supervision of the Operations Manager and will support the team in all matters related to office administration, Inventory, and logistics management.
Reporting & Supervision:
- The Consultant will report to the Operations Manager and work closely with the Procurement and Logistics Officer.
Primary Responsibilities:
- Prepare the official close out notification letter of Inventory disposition to beneficiaries.
- Work with the Operations Manager and PLO in preparing documents before they are sent to finance.
- Using the operations closeout checklist, ensure all records as required are complete and that files in SharePoint are organized and audit ready.
- Maintain supporting documentation in SharePoint and ensure all required documents are uploaded to Reqlogic
- Help in maintaining up to date operations trackers.
- Ensure the accuracy of information.
- Save all procurement documentation up to date in SharePoint and Inventory in Single point.
- Support in preparing disposition list of Inventory and participate in the distribution.
- Support in the update of the project list of vendors
- Support in the verification of physical project Inventory
- Other duties as may be assigned.
Required Skills & Qualifications:
- Diploma in administration, management, or other relevant field.
- Must have at least 1+years of experience related to the position.
- Familiar with all MS Office applications.
- Fluent in written and spoken English.
- U. S government (USAID preferred) administrative compliance experience.
- Ability to work with and achieved documents with a diverse group of staff located in different countries (Preferred).
