Job Description



Specific Responsibilities



  • Maintains calendar and appointment scheduling and works with the leader to effectively manage time, work schedule, meeting agenda, email, phone calls, client management, and other company logistics.

  • Play a key role in the planning and organization of company-wide events (All Hands Meetings, offsite events).

  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals.

  • May serve on special projects, committees, or act as manager or department representative.

  • Create reports, presentations, memo/communications and/or type up meeting notes.

  • Track daily expenses and prepare weekly, monthly or quarterly reports.

  • Assist with purchasing and maintaining supplies for the office.

  • Answer and direct telephone calls, and appropriately relay important information promptly, clearly, maintaining confidentiality as needed.

  • Communicate and schedule meetings with clients, vendors & contractors.

  • Handle basic bookkeeping tasks, filing and retrieving corporate records, documents, and reports

  • Research and analyze data to prepare documents for review and presentation by boards of directors, committees, and executives.

  • Prioritizeand manage multiple projects simultaneously. Follow through on issues in a timely manner.

  • Design and maintain various databases for contacts, passwords, files and materials.

  • Responsible for confidential and time sensitive material.


Requirements



  • Candidates should possess Bachelor's Degrees

  • 3+ years experience as an Executive Assistant ot in an administrative role

  • The Ideal candidate should hold a Bachelor's degree in any related discipline.

  • Should have good knowledge of finance and business administration.

  • Should have interest in working in Investment Bank

  • Great attention to details and good analytical skills needed.

  • Strong verbal and written communication skills

  • Excellent organizational, scheduling and time-management skills.

  • Willingness to travel.
