Job Description:



  • Greet and welcome visitors, clients, and employees in a professional and friendly manner.

  • Answer phone calls, take messages, and direct inquiries to the appropriate person or department.

  • Assist with general office duties such as filing, photocopying, scanning, and faxing documents.

  • Sort and distribute incoming mail and prepare outgoing mail for postage or courier pickup.

  • Maintain office cleanliness and organization, including tidying common areas and replenishing supplies.

  • Assist with scheduling appointments, meetings, and travel arrangements for staff as needed.

  • Monitor and order office supplies, stationery, and inventory to ensure adequate stock levels.

  • Assist with basic bookkeeping tasks such as recording expenses and processing invoices.

  • Collaborate with other administrative staff to support various projects and tasks as assigned.


Qualifications:



  • High school diploma or equivalent qualification required; additional certification or training in office administration is a plus.

  • Previous experience in an office assistant or administrative role preferred but not required.

  • Strong communication and interpersonal skills with a polite and professional demeanor.

  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.

  • Attention to detail and accuracy in completing tasks, with a proactive approach to problem-solving.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and basic computer skills.

  • Ability to work independently with minimal supervision and as part of a team.
