Job Summary



  • The Candidate will be responsible supporting the Executive Director in managing day-to-day operations efficiently.

  • The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle a wide range of administrative tasks.


Key Duties and Responsibilities



  • Manage the Executive Director's calendar, including scheduling appointments, meetings, and conference calls.

  • Coordinate travel arrangements and accommodations, ensuring smooth logistics for business trips.

  • Prepare correspondence, reports, presentations, and other documents as required.

  • Maintain accurate records and files, both physical and electronic.

  • Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications.

  • Handle inquiries and requests, providing timely and professional responses.

  • Draft and proofread emails, letters, and other communications on behalf of the Executive Director.

  • Assist in the planning and organization of meetings, including agenda preparation, room bookings, and audiovisual setup.

  • Attend meetings as needed, taking minutes and following up on action items.

  • Distribute meeting materials and ensure all participants are well-informed.

  • Support the Executive Director in various projects and initiatives, coordinating tasks and deadlines as required.

  • Conduct research, gather data, and compile information to facilitate decision-making.

  • Track project progress and provide regular updates to the Executive Director

  • Maintain databases, spreadsheets, and other records with accuracy and confidentiality.

  • Generate reports and presentations using Microsoft Office Suite or other relevant software.

  • Analyze data to identify trends, patterns, and areas for improvement.

  • Additional responsibilities as may be assigned by the Executive Director.


Key Requirements



  • First Degree in Business Administration or Statistics or Economics or Electrical/Electronics

  • Engineering, obtained from a reputable university.

  • Master’s Degree in Business Administration is an added advantage.

  • 1- 3 years post-graduate experience in similar or Executive Assistant role.

  • Proven experience in an administrative role, supporting senior executives or management.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

  • Strong communication skills, both written and verbal, with a high level of professionalism.

  • A good team-player

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Detail-oriented approach to work, ensuring accuracy and thoroughness in all tasks.

  • Flexibility to adapt to changing priorities and work under pressure.

  • Positive attitude, proactive mindset, and willingness to take initiative.
