Job Summary
- The Candidate will be responsible supporting the Executive Director in managing day-to-day operations efficiently.
- The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle a wide range of administrative tasks.
Key Duties and Responsibilities
- Manage the Executive Director's calendar, including scheduling appointments, meetings, and conference calls.
- Coordinate travel arrangements and accommodations, ensuring smooth logistics for business trips.
- Prepare correspondence, reports, presentations, and other documents as required.
- Maintain accurate records and files, both physical and electronic.
- Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications.
- Handle inquiries and requests, providing timely and professional responses.
- Draft and proofread emails, letters, and other communications on behalf of the Executive Director.
- Assist in the planning and organization of meetings, including agenda preparation, room bookings, and audiovisual setup.
- Attend meetings as needed, taking minutes and following up on action items.
- Distribute meeting materials and ensure all participants are well-informed.
- Support the Executive Director in various projects and initiatives, coordinating tasks and deadlines as required.
- Conduct research, gather data, and compile information to facilitate decision-making.
- Track project progress and provide regular updates to the Executive Director
- Maintain databases, spreadsheets, and other records with accuracy and confidentiality.
- Generate reports and presentations using Microsoft Office Suite or other relevant software.
- Analyze data to identify trends, patterns, and areas for improvement.
- Additional responsibilities as may be assigned by the Executive Director.
Key Requirements
- First Degree in Business Administration or Statistics or Economics or Electrical/Electronics
- Engineering, obtained from a reputable university.
- Master’s Degree in Business Administration is an added advantage.
- 1- 3 years post-graduate experience in similar or Executive Assistant role.
- Proven experience in an administrative role, supporting senior executives or management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a high level of professionalism.

- Ability to maintain confidentiality and handle sensitive information with discretion.
- Detail-oriented approach to work, ensuring accuracy and thoroughness in all tasks.
- Flexibility to adapt to changing priorities and work under pressure.
- Positive attitude, proactive mindset, and willingness to take initiative.
