Job Description
The Secretary to the GMD will provide comprehensive administrative support to the Group Managing Director, ensuring efficient operation and management of his daily activities. The ideal candidate will be highly organized, detail-oriented, smart, and capable of handling multiple tasks in a fast-paced environment. Responsibilities include attending to clients, serving meals, managing correspondence, and performing various administrative duties.
Key Responsibilities:
- Welcome and attend to clients visiting the GMD, ensuring a professional and friendly experience.
- Schedule and coordinate client meetings, ensuring all necessary preparations are made.
- Maintain a client database and manage client communications on behalf of the GMD.
- Manage the GMD’s calendar, schedule appointments, and coordinate travel arrangements.
- Prepare and organize documents, reports, and presentations for meetings.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Maintain confidentiality of sensitive information.
- Ensure the GMD’s dietary preferences and schedules are adhered to.
- Order and manage office supplies to ensure the smooth operation of the GMD’s office.
- Perform other tasks and duties as assigned.
Qualifications:
- Proven experience as a secretary or administrative assistant, preferably in a real estate or corporate environment.
- Excellent verbal and written communication skills.
- Excellent research skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Ability to multitask and prioritize tasks effectively.
