Job Purpose



  • The candidate will have exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently.

  • This role is crucial in ensuring smooth operations and providing comprehensive administrative support to the Chief Executive Officer.


Responsibilities



  • Manage and maintain the CEO’s schedule, including appointments, meetings, and travel arrangements.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Handle incoming and outgoing communications, including emails, phone calls, and mail.

  • Organize and coordinate meetings, conferences, and teleconferences.

  • Prepare meeting agendas, take minutes, and follow up on action items.

  • Ensure all necessary materials and documents are prepared in advance.

  • Assist in the planning and execution of various projects and initiatives.

  • Monitor project timelines, track progress, and provide updates to the CEO.

  • Conduct research and gather information as needed for project-related tasks.

  • Facilitate communication and ensure timely responses to inquiries and requests.

  • Handle confidential and sensitive information with discretion.

  • Oversee office supplies and ensure the workspace is organized and well-maintained.

  • Coordinate with other departments to ensure seamless operational support.

  • Assist in the preparation and coordination of corporate events and activities.

  • Undertake special assignments and ad-hoc projects as assigned by the CEO.

  • Provide support in preparing strategic presentations and reports.

  • Analyse data and compile insights to assist in decision-making processes.


Qualifications



  • Bachelor's degree in Business Administration, Management, or a related field preferred.

  • Proven experience as an Executive Assistant or in a similar role.

  • Strong organization and time management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Ability to maintain confidentiality and handle sensitive information.

  • Detail-oriented with strong problem-solving abilities.

  • Positive attitude and a proactive approach to tasks.

  • Ability to work independently and as part of a team.
