RESPONSIBLE TO: EXECUTIVE DIRECTOR
SUMMARY OF RESPONSIBILITES
Provide administrative support, ensuring the executive’s time is optimized and their tasks are accomplished efficiently
MAIN FUNCTIONS:
- Manage the executive's calendar, coordinating appointments, meetings, and events.
- Ensure timely reminders and notifications.
- Handle email, phone calls, and mail correspondence, filtering and prioritizing messages.
- Draft and send emails, letters, and other documents on behalf of the executive.
- Receive, prioritize, and execute tasks assigned by the executive.
- Coordinate with other departments to complete tasks and projects.
- Prepare travel itineraries and ensure necessary documents are in order.
- Prepare reports, presentations, and other documents as requested.
- Edit and proofread documents for accuracy and grammar.
- Maintain confidentiality and handle sensitive information with discretion.
- Conduct research on various topics as requested.
- Enter data into databases or spreadsheets as needed.
- Prepare meeting materials, agendas, and minutes.
- Coordinate with attendees and ensure necessary equipment is available.
- Assist with special projects, such as event planning, research, or data analysis.
- Oversee the executive's office, ensuring organization and tidiness.
- Manage office supplies and inventory.
- Ensure good communication flow by disseminating information promptly.
- Provide accurate and excellent filling and retrieval system.
- Carry out related duties that may be delegated to her by the Executive Management
PERSON PROFILE/EXPERIENCE PERSON REQUIRED
- Bsc/Hnd in Communication, English etc Proven experience as a personal assistant or in a similar role.
- Excellent communication, organizational, and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office and Google Suite.
- Strong problem-solving and analytical skills.
