Job Summary



  • This job description outlines the core responsibilities and qualifications expected of a Senior Executive Assistant to the MD at a Learning Management Organization.

  • The Senior Executive Assistant will provide high-level administrative support to the Managing Director, handling a wide range of executive support tasks and ensuring efficient operation of the executive office.


Responsibilities

Calendar Management:



  • Manage and prioritize the MD's calendar, scheduling appointments, meetings, and conferences.

  • Coordinate travel arrangements and prepare travel itineraries as needed.


Communication Liaison:



  • Serve as the primary point of contact for internal and external stakeholders.

  • Screen and prioritize incoming communications, including emails, phone calls, and mail.


Meeting Coordination:



  • Prepare agendas and necessary materials for meetings.

  • Attend meetings with the MD, take minutes, and distribute them accordingly.

  • Follow up on action items and ensure timely execution.


Document Preparation:



  • Draft and edit correspondence, presentations, reports, and other documents on behalf of the MD.

  • Maintain confidentiality and handle sensitive information with discretion.


Project Management:



  • Assist in coordinating special projects and initiatives as assigned by the MD.

  • Track project progress and deadlines, ensuring milestones are met.


Office Management:



  • Oversee office operations and procedures to ensure organizational effectiveness.

  • Maintain office supplies inventory and manage office equipment.


Relationship Management:



  • Build and maintain strong relationships with key stakeholders, both internal and external.

  • Act as a liaison between the MD and department heads or external partners.


Administrative Support:



  • Provide general administrative support such as filing, copying, and data entry.

  • Handle expenses and reimbursements, maintaining accurate records.


Qualifications



  • 10 years experience as an Executive Assistant or similar role supporting senior executives.

  • Excellent organizational and time management skills with the ability to multitask and prioritize tasks.

  • Strong verbal and written communication skills.

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Discretion and confidentiality in handling sensitive information.

  • Bachelor’s degree in Business Administration or related field preferred.
