Job Summary
- This job description outlines the core responsibilities and qualifications expected of a Senior Executive Assistant to the MD at a Learning Management Organization.
- The Senior Executive Assistant will provide high-level administrative support to the Managing Director, handling a wide range of executive support tasks and ensuring efficient operation of the executive office.
Responsibilities
Calendar Management:
- Manage and prioritize the MD's calendar, scheduling appointments, meetings, and conferences.
- Coordinate travel arrangements and prepare travel itineraries as needed.
Communication Liaison:
- Serve as the primary point of contact for internal and external stakeholders.
- Screen and prioritize incoming communications, including emails, phone calls, and mail.
Meeting Coordination:
- Prepare agendas and necessary materials for meetings.
- Attend meetings with the MD, take minutes, and distribute them accordingly.
- Follow up on action items and ensure timely execution.
Document Preparation:
- Draft and edit correspondence, presentations, reports, and other documents on behalf of the MD.
- Maintain confidentiality and handle sensitive information with discretion.
Project Management:
- Assist in coordinating special projects and initiatives as assigned by the MD.
- Track project progress and deadlines, ensuring milestones are met.
Office Management:
- Oversee office operations and procedures to ensure organizational effectiveness.
- Maintain office supplies inventory and manage office equipment.
Relationship Management:
- Build and maintain strong relationships with key stakeholders, both internal and external.
- Act as a liaison between the MD and department heads or external partners.
Administrative Support:
- Provide general administrative support such as filing, copying, and data entry.
- Handle expenses and reimbursements, maintaining accurate records.
Qualifications
- 10 years experience as an Executive Assistant or similar role supporting senior executives.
- Excellent organizational and time management skills with the ability to multitask and prioritize tasks.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Bachelor’s degree in Business Administration or related field preferred.
