Role Overview



  • As the Program Assistant, you will primarily provide program support for Surge Africa’s thematic areas. On a secondary note, you will handle administrative tasks such as assisting with hiring, expense tracking and Human Resources. This role is fully remote. 


Responsibilities:



  • Assist in organising programs and activities in accordance with the mission and goals of the organisation.

  • Assist team members in preparing and formatting documents, including Slides/PowerPoint presentations.

  • Develop and maintain an efficient filing system for the team, including assistance in processing applications for proposals as required and maintain a tracking system of responses to proposal.

  • Maintain office calendars and send out reminders of impending appointments.

  • Coordinate the translation, proofreading and editing of documents as required.

  • Assist in organising regular team meetings and conference calls/video conferences, including the preparation and distribution of documents.

  • Attend staff meetings and take minutes with the assistance of and coordination with the Program team as required.

  • Assist in managing the budget for special and routine events.

  • Make reservations for various off-site business meetings and events.

  • Relay internal emails to staff.

  • Assist in the orientation of new employees, providing them with the necessary documents and materials for orientation.

  • Assist with payroll management.

  • Perform other related duties in accordance with instructions from team members.


Qualifications:



  • 3 years or more working experience in program support, administration and human resources.

  • Effective skill in developing and executing both in-person engagements and online events.

  • Competency in digital software and virtual workspaces.

  • Ability to work independently and as part of a team.

  • Excellent time management skills.

  • Ability to multitask.

  • Strong organisational skills.

  • Polite, clear and compelling communication skills.
