Job Description
A Health- related organization in Kwara State seeks to recruit a suitable candidate to fill the position of a Personal Assistant to the MD/ Secretary.
Responsibilities
- Assist the MD with organizational, financial and personal administration on a daily basis.
- Communicate and handle incoming and outgoing electronic communications, on behalf of the MD.
- Organize logistics of board meetings and other key internal meetings.
- Maintain records of decisions and ensure action items are clearly recorded for the MD.
- Typing, compiling and preparing reports, presentations, and correspondence.
- Produce documents, briefing papers, reports and presentations for the MD.
- Organise meetings and ensure the MD is well prepared for those meetings.
- Reminding the MD of important tasks and deadlines.
- Maintain the MD office systems, including data management and filing.
- Collate and file expenses on behalf of the MD
- Implementing and maintaining procedures/ administrative systems in the office of the MD.
- Manage MD diary, assessing priority of appointments and re-allocation as necessary.
- Booking and arranging travels, transport and accommodation.
- Screen calls, enquires and requests, and deal with them when appropriate.
- Any other duties as may be required by the MD.
Minimum Requirements
- A Bachelor’s degree holder or its equivalent in business administration, accounting, finance or a related field.
- A minimum of five years work experience in administrative and personal assistant roles, at the executive level.
- Strong interpersonal and communication skills
- Proficiency in Microsoft Office Suite, especially Excel, MS Word, and PowerPoint.
