Job Description
We are seeking a professional and organized Secretary who will also serve as a receptionist to serve as the first point of contact for visitors and clients, manage front desk operations, provide administrative support, and ensure smooth office communication.
KEY RESPONSIBILITIES
Front Desk & Reception Operations
- Welcome and attend to visitors, clients, and guests in a professional and courteous manner
- Answer and direct incoming calls, take messages, and handle inquiries promptly
- Manage appointment scheduling, maintain visitor logs, and coordinate meeting room bookings
- Receive and distribute incoming mail, packages, courier deliveries, and outgoing correspondence
- Maintain a clean, organized, and professional reception area at all times
Secretarial & Administrative Support
- Provide administrative support to management, including drafting correspondence, memos, and reports
- Schedule and coordinate meetings, appointments, and travel arrangements for staff and management
- Take meeting minutes, maintain accurate records, and follow up on action items
- Manage office filing systems (both physical and digital) and ensure proper documentation
- Monitor and replenish office supplies, pantry items, and coordinate with vendors for restocking
- Handle routine office errands and liaise with service providers for office maintenance needs
- Assist in organizing company events, meetings, and workshops as required
