To manage the front office operations by providing a professional and welcoming environment for clients, managing the switchboard, and providing essential administrative support to the Audit and Tax teams.
Key Responsibilities
Guest Management: Greet and direct clients, auditors, and visitors with a high degree of professionalism and courtesy.
Call Routing: Manage the office telephone lines, screening calls and taking accurate messages for the Partners and Managers.
Mail & Logistics: Receive, sort, and log all incoming and outgoing correspondence (bank letters, tax queries, client documents) and coordinate with dispatch riders.
Office Presentation: Ensure the reception area and conference rooms are always tidy and ready for client meetings.
Meeting Coordination: Manage the boardroom calendar, ensuring refreshments are provided for client meetings or audit briefing sessions.
Basic Documentation: Assist the administrative team with scanning, photocopying, and basic data entry in Excel.
Security & Confidentiality: Monitor the "Sign-in" log for visitors and ensure that no sensitive client files are left visible in the reception area.
Requirements
Education: OND, HND, or BSc Degree in any discipline (Mass Communication, English, or Business Admin is a plus).
Experience: 1 - 3 years (Fresh graduates with excellent carriage are encouraged).
Communication: Fluent in English with a professional speaking voice and excellent writing skills.
IT Skills: Proficiency in Microsoft Outlook, Word, and Excel.
Appearance: Must maintain a professional and corporate physical appearance at all times.
Soft Skills: High emotional intelligence, patience, and the ability to multitask under pressure
